Description
OverviewThe CoreAI Business Operations & Workforce Management Lead will provide centralized operational support across workforce management, headcount processes, administrative systems, onboarding, procurement, and community programs. This role will serve as a key connector among the Executive Assistant community, Finance, the Business Management Office, HR support teams, and executive hiring partners.
The role will establish consistent processes, strengthen operational controls, and provide subject matter expertise across PCN management, Oracle reporting, and Employee Central. It will also lead centralized programs that enable Executive Assistants to focus more effectively on leader and team support.
Responsibilities
Workforce and PCN Management
Serve as the primary liaison between Executive Assistants and Finance for incremental, backfill, dual, buffer, and geographic-change PCN requests.Submit approved PCN requests through Oracle or Employee Central and communicate completed PCN information to the appropriate stakeholders.Manage backfill and incremental PCN requests across Oracle and Employee Central.Lead backfill PCN audits, ensuring requests align with approved location and level requirements and support cost neutrality.Create new PCNs when approved roles require a change in geographic location.Manage CoreAI buffer and incremental PCNs across OPEX and COGS.Partner with the Business Management Office and Executive Assistants to allocate buffer PCNs, maintain accurate records, and ensure allocations are reflected in team forecasted headcount.Partner with Finance and Executive Assistants on monthly PCN cleanup audits, including executing the audit, summarizing findings, and monitoring PCN closures.Support executive hiring partners in identifying PCNs for critical roles.Serve as the Microsoft-side point of contact for PCN needs involving GitHub Integrated employees who do not have access to Microsoft headcount and PCN management tools. Oracle Reporting and Employee Central Support
Serve as the Oracle headcount reporting subject matter expert for the Executive Assistant community.Onboard new Executive Assistants to Oracle reporting tools and processes.Create, maintain, and refresh customized Oracle reports.Troubleshoot data validation, usability, and reporting issues.Train administrators to pull, interpret, and use reports for their respective teams.Serve as an Employee Central subject matter expert for the Executive Assistant community.Onboard administrators to Employee Central and help resolve system-related challenges in partnership with AskHR.Facilitate cross-team reorganization and headcount movements when team administrators cannot complete the process independently.Support leadership-related headcount changes and other complex workforce transactions. Executive Assistant Onboarding and Community Support
Lead the onboarding and training experience for new CoreAI Executive Assistants.Develop a consistent CoreAI framework for role expectations, systems learning, and operational onboarding.Establish mentoring or buddy support to provide new Executive Assistants with a consistent learning journey.Promote consistency in Executive Assistant role delivery across the organization.Support the management and engagement of the virtual CoreAI Executive Assistant community. Centralized Hardware and SWAG Management
Own centralized hardware ordering and hardware management for CoreAI, while accounting for organizations that may operate under different processes.Establish consistent hardware procedures aligned with procurement requirements.Manage centralized SWAG ordering for cross-CoreAI programs and events.Ensure SWAG activities follow applicable compliance and procurement processes.Maintain accurate forecasting and tracking for centralized hardware and SWAG needs. Ownership of other org-wide initiatives/programs/projects

Required Qualifications
Bachelor's Degree in relevant field (e.g., Liberal Arts, Business Administration, Management, Computer Science) AND 1+ year(s) of experience in financial management, business planning, operations management, strategy, project management, human resources, or business-related roles OR equivalent experience. Other Requirements: Ability to meet Microsoft, customer and/or government security screening requirements are required for this role. These requirements include but are not limited to the following specialized security screenings: Microsoft Cloud Background Check: This position will be required to pass the Microsoft Cloud background check upon hire/transfer and every two yearsPreferred Qualifications
Demonstrated experience in business operations, workforce management, headcount planning, finance operations, HR operations, or a related function.Experience managing detailed, multi-step operational processes involving multiple stakeholders and approval paths.Strong working knowledge of workforce-management concepts, including headcount, position controls, backfills, incremental positions, organizational changes, and geographic changes.Experience working with enterprise HR, finance, reporting, or workforce-management systems.Strong analytical and reporting skills, with the ability to identify data inconsistencies, summarize findings, and maintain accurate operational records.Proven ability to build collaborative relationships across Executive Assistant, Finance, HR, procurement, business management, and leadership teams.Ability to manage confidential workforce and organizational information with appropriate judgment and discretion.Strong organizational and project-management skills, with the ability to manage recurring audits, operational deadlines, and concurrent requests.Excellent written and verbal communication skills, including the ability to explain complex processes clearly and train users with varying levels of system experience.Demonstrated ability to work independently, identify process gaps, and drive work through completion in a complex and evolving environment.Experience with Oracle headcount reporting, Employee Central, or comparable enterprise workforce-management platforms.Experience supporting PCN, position-management, or headcount-allocation processes.Experience creating customized reports, reconciling workforce data, and supporting monthly audits.Experience developing onboarding programs, training materials, process documentation, or role-expectation frameworks.Experience partnering with procurement teams or managing centralized hardware, equipment, or branded merchandise programs.Familiarity with OPEX, COGS, forecasted headcount, cost-neutrality requirements, and workforce forecasting.Experience supporting a large, global, or highly matrixed technology organization.Ability to influence stakeholders and drive process consistency without direct authority.
Business Management IC2 - The typical base pay range for this role across the U.S. is USD $70,500 - $125,200 per year. There is a different range applicable to specific work locations, within the San Francisco Bay area and New York City metropolitan area, and the base pay range for this role in those locations is USD $95,000 - $142,400 per year.
