Description
The Amazon Ads Advertiser Experience team is seeking a passionate and driven Executive Assistant to support two Directors in our organization.This role requires planning, time management, and organizational skills. You will have a strong sense of responsibility, decisiveness under pressure, and be customer service-oriented. This position requires high levels of integrity and discretion in handling confidential information and professionalism in dealing with senior executives. You must have exceptional written and verbal communication skills, be tech-savvy, resourceful, and a creative problem solver. You will act as the unifier of the team through team socials, events, and programs. You will also partner with onsite operational teams to support the Amazon Ads locations and play a major role in the team's overall site strategy. This position requires the capacity to work successfully in a team environment, and build effective working relationships.
This role requires five (5) days a week in office.
Key job responsibilities
- Manage complex calendar requests, meeting invites, and conference room logistics in an ultra fast-paced environment
- Develop expertise on Amazon mechanisms, team organization, and proactively drive planning
- Plan international and domestic travel
- Process expense reports
- Partner closely with leadership and key business partners to provide holistic support to the team including proactive planning and support for the rhythm of business
- Manage event logistics (in-person and virtually), including catering, preparing agendas and materials to ensure meetings are productive (e.g., team meetings, offsites, town halls)
- Coordinate space planning for the team, coordination and execution of office moves
- Boost morale, recognize efforts, have fun at work, and encourage others to do the same
- Attend key meetings, track and help drive completion of key deliverables, and follow up on items
- Drive team mechanisms (e.g., staff meeting agendas, weekly business reviews, team-building events, and team recognition)
- Collaborate closely with other EAs on scheduling, events, and ad-hoc projects
A day in the life
A day in the life of an executive assistant on the Advertiser Experience team begins with a morning check of emails and calendar updates, accommodating different time zones across our global organization. The EA meets with their executive, discussing priorities and any urgent matters. They dive into important team initiatives ranging from event planning, offsite coordination, or supporting key business reviews. They collaborate closely with other EAs across the Amazon Ads organization on scheduling, events, and ad-hoc projects, building strong partnerships that enable seamless support for leadership.

Qualifications
- 3+ years of professional or military experience- Experience with executive level calendar management
- Experience with domestic or international travel coordination
- Experience with Microsoft Office products and applications

The base salary range for this position is listed below. Your Amazon package will include sign-on payments and restricted stock units (RSUs). Final compensation will be determined based on factors including experience, qualifications, and location.
