Description

The AWS Startups organization is looking for a flexible, proactive, multi-tasking Executive Assistant who wants to be part of a collaborative, innovative, customer-obsessed, multi-functional team. We are looking for someone who is motivated by helping leaders and their teams operate with greater efficiency to support AWS Startup Leaders. This position is located in Seattle, WA.

In this role, you will have the opportunity to work with a multi-functional, global team and will support AWS Startup Leaders by managing and optimizing calendars, supporting travel, and participating in team leadership meetings to drive effective follow-up to key actions and projects. This role will require the ability to manage multiple requests and priorities simultaneously, meet deadlines, and show flexibility to change direction when needed. You will apply your curiosity, business acumen, and strong judgement to effectively prioritize work and react with appropriate urgency to emerging situations. Bias for action, willingness to roll up your sleeves, and the ability to effectively communicate and collaborate across all levels of the organization will support your success in this role. A high level of integrity and discretion in handling confidential information is crucial.

Anticipate needs and triage meeting requests based on strategic priorities

Ensure time is allocated effectively for decision-making, team management, and external engagement

Track outcomes for 1:1s, leadership meetings, all-hands sessions, and external engagements

Contribute to initiatives that drive team collaboration, transparency, and organizational health

Partner with leaders and key stakeholders to track organization-wide initiatives, and key deliverables

Establish new and improve existing administrative systems and processes

Maintain professionalism and discretion in all interactions.

Key job responsibilities

- Provide seamless support to AWS Startup Leaders on organizational priorities;

- Proactively manage calendar(s) with attention to accuracy, detail, and allocation of time to promote productivity; recognizing the need to re-prioritize as appropriate;

- Coordinate domestic and international travel in compliance with existing policies and procedures, ensuring effective use of time and resources;

- Organize and manage meetings, off-sites and team-based events;

- Understand business priorities and proactively look for ways to improve processes to create efficiency and scale for the leadership team, ranging from organizational communication mechanisms to tools to planning meetings;

- Plan the annual organizational calendar and facilitate the integration and prioritization of emerging priorities;

- Track and help drive completion of key deliverables and follow up on tasks;

- Review and copy-edit business documents, communications, and presentations with a high level of accuracy;

- Support and, at times, manage small to medium projects based on organizational needs and professional development interests;

- Build relationships and work collaboratively with Executive Assistants throughout the team and across the company; and

- Proactively look around corners and take the initiative to alert leaders on future actions required of them, potential scheduling conflicts and other forward-looking items

Qualifications

- 5+ years of senior level leadership support experience

- Experience with executive level calendar management

- Experience with domestic or international travel coordination

- Experience leading process improvements



Extended Qualifications

- 7+ years of senior level leadership support experience

- Experience designing processes to maximize efficiency

- Experience working with large global teams

- Experience in a fast-paced, high-tech company

The base salary range for this position is listed below. Your Amazon package will include sign-on payments and restricted stock units (RSUs). Final compensation will be determined based on factors including experience, qualifications, and location.
