Description

Amazon Music seeks a dedicated, self-driven Executive Assistant with effective communication skills to support its VP of Strategy, Licensing, and Commerce. This role requires planning, time management, and a passion for organization. Superior attention to detail, great judgement, and the ability to meet tight deadlines while juggling multiple requests across global teams is critical. This Executive Assistant acts as a seamless extension of the VP and works across all Amazon Music teams and external partners in the music industry. In addition, you will partner with Finance, HR, PR and Global Real Estate Facilities teams, as well as Amazon Music’s existing EA team to offer comprehensive support for a highly-distributed global organization. A high level of integrity and discretion handling confidential information and professionalism dealing with senior executives inside and outside the company is imperative. Humor, composure, and the ability to foster a fun and positive team environment is a must, as is flexibility and a willingness to turn on a dime as priorities shift. The successful candidate will understand music business priorities, proactively anticipate needs, and drive improvements that build capacity for their leader. Completing complex tasks quickly with little to no guidance, reacting with appropriate urgency to situations that require quick turnaround, and taking effective action without having to know the whole picture is key to success.

Key job responsibilities

• Thoughtfully manage complex VP calendar and scheduling with leaders and teams across multiple locations and time zones

• Coordinate complex domestic and international travel itineraries with seamless logistics

• Manage expense report coordination and submission

• Track and help drive completion of key deliverables and follow up on outstanding items (including meeting notes and action items) from LT and team meetings

• Support and, at times, manage small to medium projects based on organizational needs and professional development interests

• Help to develop & maintain new mechanisms within the team

• Organize, execute, and/or assist with team activities (staff meeting agendas, all-org meetings, fireside chats, off-sites, and other team events)

• Space management, including strategic growth, moves, and reconfigurations

This role is based in Seattle and requires being in-office 5x a week.

Qualifications

- 5+ years of executive assistant experience

- Experience with executive level calendar management

- Experience with domestic or international travel coordination

- Experience with Microsoft Office products and applications

- Experience leading process improvements

- Experience in a fast-paced, high-tech company

- Experience designing processes to maximize efficiency

- Music and/or Entertainment industry experience

- Project management experience

Our compensation reflects the cost of labor across several US geographic markets. The base pay for this position ranges from $66,800/year in our lowest geographic market up to $142,800/year in our highest geographic market. Pay is based on a number of factors including market location and may vary depending on job-related knowledge, skills, and experience. Amazon is a total compensation company.
