The Corporate Vice President of Continuous Improvement is hiring an Executive Business Administrator. Calendar Management

Strategic calendar management and time planning support for the CVP of Continuous Improvement. Use executive maturity and judgment with full knowledge of business context to execute decisions around prioritization and maintain constant communication with manager. Exercise a sense of priority and awareness for high impact meetings, and urgent business needs, and ensures follow-up. Provide back-up calendar management for Executive Vice President and Chief Operations Officer as needed. Cross-Functional Collaboration and Communication

Proactively drive communication and liaise between executives, central teams, and other business partners to share information and practices that drive efficiency. Communicate with executive maturity to external partners/audiences and third parties. Discipline Growth and Development

Provide leadership and actively seek out and participate in the Business Support community. Mentor Business Support professionals. Onboard and train new Business Support staff. Contribute to their organization's culture as a leader. Team Management Support (Headcount Management, Recruitment, Onboarding/ Offboarding)

Land and delegate onboarding activities (e.g., ordering new-hire equipment, setting up workstations, distribution lists, security groups) and provide support to new employees, vendors, and interns as an essential contact for questions and company information. Identify areas of improvements and updates for relevant headcount management systems by partnering closely with the central staff team. Event Coordination and Logistics

Manage, plan, and develop events. Take responsibility for event outcomes and demonstrates executive presence. Lead a team of event planners if needed.Partner with management to understand event aspirations and target goals. Develop and leverage resources for reuse to drive efficiency. Contributes to development of workback schedule, promotion, and necessary checkpoints. Leadership

Lead by example and serve as a role model to Business Support colleagues by maintaining a professional attitude, demonstrating executive presence, influencing others, and encouraging self-reflection during dynamic situations. Navigate with executive maturity and calmness in dynamic situations. Use executive maturity to escalate issues, proactively ensuring teams effectiveness and consistency. Engage with the Business Support community, keeping a pulse to enable growth across the discipline. Project Ownership

Balance multiple complex projects and timelines end to end while maintaining executional and operational excellence within the division and across business groups. Provide operations and project management support to manager and central staff. Take accountability for project outcomes and drive stakeholder accountability. Streamline processes, leverage practices, provide process improvements, and adjusts as needed. Resource Management (Hardware/Supply Management, Purchase/Expense Management Financial Management)

Own expense management including documentation (e.g., purchase orders [POs], receipts, tax award spreadsheets, statements of work, reclassifications), expense tracking, and policy compliance. Educate team on Microsoft Policy to ensure compliancy across team and escalate issues as needed. Function as interim approver for manager. Oversee supply management and planning and promote compliance with supply management policies and procedures within an organization. Rhythm of Business (ROB)

Partner with manager on building and managing annual rhythm of business (ROB), including fiscal year calendar and executive meeting schedule (e.g., Human Resources [HR] cadence, fiscal cadence, SLT cadence, company-wide and/or employee resource group cadence). Strategically communicate ROB cadence and help to manage workloads, as needed. Space Management and Planning

Oversee space-management processes and team spaces (e.g., office locations/desk assignments, private conference rooms, seasonally transitional spaces, remote/location status), cascading space management vision to fellow team members. Oversee and streamlines group moves. Address and resolves high-level space escalations/requests. Lead large-scale space requests (e.g., annual office restacks, space build outs), liaising between admins and space planner and negotiating for appropriate space for their team. Determine future space planning needs and drive space changes based on utilization data and upcoming organizational changes. Travel Management

Works with Executive Travel to coordinate travel arrangements (e.g., accommodations, transportation, security) for CVP. Create detailed itineraries/agendas for daily activities by setting and managing travel expectations to maximize trip productivity. Manage all travel logistics and maximize trip itineraries. Act as a stand-by resource and ensures availability for varying manager needs/time zones to address issues/escalations during business travel. Maintain availability and acts with urgency to address travel changes as they arise. Drive proactive communication across stakeholders ahead of travel and may communicate with domestic and international stakeholders to ensure the supported leader maximizes business trip outcomes. Ensures required documents (e.g., visas, passports, immunization records) are obtained for international travel. Disseminate and enforce travel policies and expectations. Manage and ensure compliance with US Travel Tax Tool. Other

Required Qualifications

7+ years Administrative, Business Support, or customer service experience in an environment with an emphasis on scheduling meetings/events, travel management, and administration work for executive/upper level management.

Preferred Qualifications

Bachelor's Degree in relevant field (e.g., Business Administration, Human Resources [HR], Marketing, Communications, Psychology, Sociology) OR equivalent experience.4+ years experience serving as mentor or direct/indirect (e.g., team leader) supervisor to others. 5+ years experience reviewing and managing administrative budgets (e.g., for events, morale, travel, training). Business Support ATR-E - The typical base pay range for this role across the U.S. is USD $32.16 - $64.90 per hour. There is a different range applicable to specific work locations, within the San Francisco Bay area and New York City metropolitan area, and the base pay range for this role in those locations is USD $43.08 - $71.25 per hour.
