Overview

The Search organization is looking for an experienced Executive Assistant to join our organization. This role will provide support to the President of Search and their worldwide team of ~1,800.

Starting January 26, 2026, Microsoft AI (MAI) employees who live within a 50- mile commute of a designated Microsoft office in the U.S. or 25-mile commute of a non-U.S., country-specific location are expected to work from the office at least four days per week. Responsibilities

Executive & Calendar ManagementProvides highly strategic calendar management (e.g., high profile, high risk, large-scale impact) based on deep knowledge of business and executive needs, while upholding the highest degree of integrity (e.g., highly sensitive, highly confidential topics) and maintaining confidentiality.Use discretion to make independent decisions to prioritize customer/partner meetings and urgent escalations, while balancing the overall rhythm of business (ROB).Use executive maturity and judgement to lead/own multiple decision-making processes, in close partnership with stakeholders and peers.Proactively adapts to shifting priorities while representing leader and sets an example for less experienced colleagues in making judgment calls and prioritizing competing demands.Event Planning & LogisticsOwn end-to-end planning and execution of meetings and events, including workback schedules, logistics, vendor coordination, and post-event follow-up.Resolve issues proactively and partner with stakeholders to ensure successful outcomes.Capture learnings and recommend improvements for future events.Space Planning & ManagementAssign space to leaders directly, be able to suggest floor layout plans that make sense based on team structure, collaboration needs, headcount changes, and business priorities.Lead space planning and space-management processes for the organization, including desk assignments, office locations, conference rooms, and remote/location status.Oversee and streamlines group moves, restacks, and space transitions, addressing escalations as needed.Be the liaison between AI Experiences space planner and Search Admin/ leadership teams. While negotiating appropriate space for the teamCascade space planning decisions and guidance to the Business Support team to ensure consistent execution.Process, Policy & Systems FluencyDevelop and maintain solid understanding of organizational processes, tools, and policies (e.g., recruiting, onboarding, headcount, finance, travel).Lean into this knowledge to guide, support, and educate peers and stakeholders—enabling smooth execution rather than taking on tasks directly.Identify process gaps and recommend improvements that enhance clarity, efficiency, and scalability across the Business Support function.Travel ManagementManage domestic and international travel arrangements for leader and executive office, including accommodations, transportation, security, and itineraries.Build detailed agendas to maximize trip productivity and ensure alignment across stakeholders.Serve as an escalation point during travel and ensure compliance with travel, tax, and documentation requirements.Guide and coach colleagues on travel processes and policies; provide onsite support for major events as needed.Discipline Growth and DevelopmentProvide leadership by actively participating in the Business Support community and mentoring Business Support professionals and lead team experience activities and delegate onboarding.Engages in career development and training. Identifies, aligns, and promotes growth opportunities for self and team. Assesses teams’ capabilities to encourage a growth mindset environment, supports team building, networking opportunities, and works to uphold morale.Uses Business Support knowledge and experience to mentor and support the Business Support community. Share proven practices and insights.Builds, mentors, and grows diverse and inclusive Business Support teams through networking, coaching, training, and the interviewing process.Discretionary Budget ManagementPartner closely with Business Managers and team to plan, track, and manage discretionary budgets (e.g., events, morale, travel, hardware, supplies).Translate budget plans into clear execution, coordinating and rallying the Business Support team to deliver against agreed priorities.Ensure accurate expense tracking, documentation, policy compliance, and timely issue resolution.Apply solid understanding of financial processes, systems, and policies to guide peers and stakeholders, enabling consistency, efficiency, and informed decision-making.

Qualifications

Required Qualifications:

7+ years administrative, business support, or customer service experience in an environment with an emphasis on scheduling meetings/events, travel management, and administration work for executive/upper level management.

Preferred Qualifications:

Bachelor's Degree in relevant field (e.g., Business Administration, Human Resources [HR], Marketing, Communications, Psychology, Sociology)OR equivalent experience.4+ years’ experience serving as mentor or direct/indirect (e.g., team leader) supervisor to others.5+ years’ experience reviewing and managing administrative budgets (e.g., for events, morale, travel, training).Comfortable conducting basic data analysis and using Excel functions and tools, including VLOOKUP and PivotTables.Demonstrated experience leading and fostering a business support community, influencing and coordinating peers without direct people-management responsibility.This description has been designed to indicate the general nature and level of work performed by employees within this position. Business Support ATR-E - The typical base pay range for this role across the U.S. is USD $33.89 - $67.16 per hour. There is a different range applicable to specific work locations, within the San Francisco Bay area and New York City metropolitan area, and the base pay range for this role in those locations is USD $45.67 - $73.65 per hour.
