OverviewThe Azure Product Marketing team, part of the CC&AI organization is looking for an experienced Executive Business Administrator with motivation to provide wide-ranging administrative support for the Corporate Vice President in a high-energy, dynamic work environment.
This position requires excellence in administrative functions - the ideal candidate for this role can effectively manage a demanding workload under time constraints with a calm, confident and positive attitude, the ability to work independently, deal with ambiguity, and expects to deliver while acting as a representative of the executive they support. Excellent communications skills, the ability to prioritize effectively, and handle multiple time-critical tasks simultaneously are a must. Being detail oriented and having consistent and timely follow through will be essential to success in this role. This role requires complex calendaring skills, operational excellence, and an effective use of data and business systems. Responsibilities
Complex executive calendar management including strategic time prioritizationEnd-to-end complex domestic and international travel planning, including proactive adjustments to drive efficienciesPartner with Business Management team to effectively manage team operationsKey driver of the annual ROB scheduling and team calendar including all hands, large and small scale off-site meetings, and team morale eventsSpace management; alias management; processing and approving expense reports; new hire onboarding; procurement of goods and servicesOversee execution of full hiring cycle including PCN management, REQ execution and trackingLead administrative team and oversee team support to manage the needs of the overall organization.
Qualifications
Required/minimum qualifications
7+ years Administrative, Business Support, or customer service experience in an environment with an emphasis on scheduling meetings/events, travel management, and administration work for executive/upper level management.
Preferred Skills:
Bachelor's Degree in relevant field (e.g., Business Administration, Human Resources [HR], Marketing, Communications, Psychology, Sociology) OR equivalent experience.
5+ years demonstrated work experience in supporting a senior level executive in a fast paced and complex environment with strong strategic prioritization and time management skills.Proven project and operational management skills, including budget management, event management, calendaring, and business acumen.Proactive anticipation of executive needs and able to work independently to make administrative decisions and requests for information on behalf of the executive.Ability to work well in a changing environment, under pressure, on short notice, and take appropriate timely action.Must be adaptable and work successfully in a team environment, building and maintaining effective working relationships with a diverse group of contributors internally and externally.Maintains confidentiality of sensitive information and materials, using discretion and professional judgment.Demonstrated organizational, analytical, anticipatory, and communication skills.Advanced knowledge using Microsoft productivity tools including Outlook, Word, Excel, and PowerPoint AND experience using OneNote, SharePoint, Teams or similar collaboration toolsThe individual in this role will bring a well-rounded administrative skill set, including attention to detail, initiative, flexibility, professionalism, creative problem solving and sound decision making, effective time management, and clear written and verbal communication.
Business Support ATR-E - The typical base pay range for this role across the U.S. is USD $32.84 - $66.30 per hour. There is a different range applicable to specific work locations, within the San Francisco Bay area and New York City metropolitan area, and the base pay range for this role in those locations is USD $44.81 - $72.69 per hour.
