Description

Overview

The Office of Applied Research (OAR), part of the Experiences + Devices (E+D) organization and housed within Collaborative Apps and Platforms (CAP), drives applied research across CAP and E+D. It does so by partnering with product groups, fostering the broader E+D research community, and linking E+D’s research programs to work in Microsoft Research and the academic community. The Chief Scientist and Corporate Vice President (CVP) of OAR is hiring an Executive Business Administrator.As an Executive Business Administrator, you will support the team through executive communication, prioritization, and operational excellence, as well as a high degree of integrity and confidentiality. You will support the Chief Scientist and a broader team of researchers and technical advisors in OAR.

Responsibilities

Calendar & Meeting Management: Strategically manage executive calendars, prioritize meetings, and coordinate logistics to support business needs.Cross-Functional Communication: Act as a liaison between executives, teams, and external partners; share information and best practices to drive efficiency.Leadership & Mentorship: Lead by example, mentor Business Support professionals, and contribute to discipline growth and team culture.Event Planning: Manage and execute events end-to-end, ensuring alignment with business goals and demonstrating executive presence.Project Management: Oversee complex projects, streamline processes, and ensure operational excellence across business groups.Resource & Expense Management: Own expense tracking, budget planning, and compliance with financial policies; manage supplies and vendor relationships.Rhythm of Business (ROB): Partner with leadership to build and maintain ROB cadence, ensuring alignment and communication across teams.Space Planning: Oversee office space management, including moves, restacks, and future planning based on organizational needs.Team Support & Recruitment: Drive headcount management, recruitment, onboarding/offboarding, and team experience initiatives.Travel Coordination: Manage executive travel logistics, itineraries, and compliance with travel policies for domestic and international trips.

Qualifications

Required Qualifications:

7+ years Administrative, Business Support, or customer service experience in an environment with an emphasis on scheduling meetings/events, travel management, and administration work for executive/upper level management. Preferred Qualifications:Bachelor's Degree in relevant field (e.g., Business Administration, Human Resources [HR], Marketing, Communications, Psychology, Sociology)OR equivalent experience.4+ years experience serving as mentor or direct/indirect (e.g., team leader) supervisor to others.5+ years experience reviewing and managing administrative budgets (e.g., for events, morale, travel, training).

Business Support ATR-E - The typical base pay range for this role across the U.S. is USD $32.84 - $66.30 per hour. There is a different range applicable to specific work locations, within the San Francisco Bay area and New York City metropolitan area, and the base pay range for this role in those locations is USD $44.81 - $72.69 per hour.
