Within Azure Data, the databases team builds and maintains Microsoft's operational Database systems. The Azure Databases organization is hiring an Executive Business Administrator to support the Corporate Vice President (CVP) of Azure Databases, providing strategic executive calendar management and leadership in key business support areas. This position will require initiative, good judgment, the ability to set priorities and handle multiple teams and tasks simultaneously. Highly motivated individuals who are diligent and passionate about quality customer service and leadership are encouraged to apply.
This role operates in various capacities, working with the CVP, Chief of Staff office, and their leadership team by showing excellence in administrative functions. You will be responsible for Executive and partner-level interfaces, contact with customers, external partners, and all levels of strategic stakeholders within Microsoft. The ideal candidate will need to be able to navigate and change directions quickly within a fast-paced engineering environment; manage complex schedules and ROBs, have stellar interpersonal and customer service skills; take initiative; demonstrate integrity and can maintain confidentiality. This individual will also need to set priorities and handle multiple tasks simultaneously. Being detail oriented and having consistent and timely follow-through will be essential to success in this role. This role will be the Lead EBA for a community of Business Administrators within the CVP’s organization. This individual will support the community, providing mentorship, and guidance as it relates to the role and overall discipline. Calendar Management and Meeting Logistics
Provides strategic calendar management and time planning support. This includes attention to accuracy, timeliness, conflict resolution and alignment to the executive’s priorities and commitments, in partnership with the Chief of Staff office.Ensures preparation for meetings and participant attendance, involving team members in technical content preparation and/or tactical logistics support as appropriate. Gathers, prepares, and provides meeting materials as applicable.Uses judgment and knowledge of business context to help identify key initiatives and new workstreams, makes decisions around prioritization and keeps executive and central office informed.Collaborates with key stakeholders and Chief of Staff office to enable decision making processes.Manages ambiguous situations.Cross-Functional Collaboration and Communication
Serves as a liaison between the executive and various teams.Gathers information from partners across organizations to prepare key stakeholders to distribute information to their teams.Communicates with external partners/audiences and third parties, representing the executive and Microsoft.Discipline Leadership and Development
Provides leadership within the discipline and the Business Support community.Contributes to the organization's culture by participating across the Databases and Azure Data Business Support communities.Leads by example and serves as a role model to Business Support colleagues by maintaining a professional attitude, demonstrating executive presence, influencing others, and encouraging self-reflection during challenging situations.Event Coordination and Logistics
Owns the coordination, logistics, and direction for events, with appropriate delegation as necessary.Proactively drives actions and workstreams needed to ensure event outcomes, acting as a main point of contact for events.Collaborates and coordinates with Business Support community to set up events (virtually and/or in-person) and manages supplier and business relationships end to end.Identifies learnings and suggests best practices for future events. Including refinement of workback schedule, engagement planning, and necessary checkpoints.Project Ownership
Balances multiple projects end to end with varying deadlines, while maintaining executional and operational excellence within the business and across business groups as applicable.Takes accountability for project outcomes and drives stakeholder accountability through consistent communication.Resource Management
Participates in discretionary budget tracking (e.g., morale, hardware, supplies).Partners with Chief of Staff office and Finance to own expense management including documentation, expense tracking, and policy compliance. Serve as interim approver for finance and expense approvals.Contributes to and oversees planning, tracking, maintenance, and adjustment of equipment and inventory.May perform vendor and supplier management, including ensuring they are set up for financial processing.May contribute to complex budget management in partnership with Chief of Staff office by reviewing, forecasting, and providing recommendations to ensure efficiency/quality.Rhythm of Business (ROB)
Understands and helps to implement rhythm of business (ROB) in line with recognized patterns.Creates, builds, and adjusts plans within areas of responsibility in partnership with Chief of Staff office.Supports continual implementation and flexibility of the ROB by partnering with Chief of Staff office and gathering feedback.Space Management and Planning
Maintains and owns up-to-date space-management processes and organizational adjustments.Coordinates large-scale space initiatives and requests, liaising between Business Admin community and space planner and advocating for appropriate space for their team.Collaborates with peers and stakeholders to design and plan room assignments, including technology, and equipment needs.Maintains detailed space utilization data to recommend changes in space assignments and identify future space requirements. Escalates and shares with central office and space leads to resolve escalations and postmortem issues, as needed.Team Management Support
Facilitates team experience activities.Coordinates executive recruitment efforts, and partners with Global Talent Acquisition (GTA) to ensure a smooth process.Supports executive/team onboarding activities (e.g., ordering new-hire equipment, setting up workstations, distribution lists, security groups) and provides support to new employees, vendors, and interns as an essential contact for questions and company information.Lands and manages headcount management activities in collaboration with Chief of Staff Office, including transfers/departures, reporting, offboarding, and transactions within headcount management tools.Travel Management
Books and manage travel arrangements in collaboration with Chief of Staff and Executive Travel (e.g., accommodations, transportation, security, group codes, documents) for executive with full understanding of Microsoft travel policies.Creates detailed itineraries/agendas in collaboration with Chief of Staff for executive's daily activities by building agenda and setting and managing travel expectations to maximize trip productivity. Acts as a stand-by resource to address issues/escalations during business travel.Facilitates communication across key stakeholders ahead of travel.Embody our culture and values.
Qualifications
Required/minimum qualifications5+ years Administrative, Business Support, or customer service experience in an environment with an emphasis on scheduling meetings/events, travel management, and administration work for executive/upper-level management.
3+ years experience reviewing and managing administrative budgets (e.g., for events, morale, travel, training).

This position will be required to pass the Microsoft Cloud background check upon hire/transfer and every two years thereafter.
Additional or preferred qualifications
Bachelor's Degree in relevant field (e.g., Business Administration, Human Resources [HR], Marketing, Communications, Psychology, Sociology) OR equivalent experience.2+ years experience serving as mentor to others.
Business Support ATR-D - The typical base pay range for this role across the U.S. is USD $30.29 - $50.53 per hour. There is a different range applicable to specific work locations, within the San Francisco Bay area and New York City metropolitan area, and the base pay range for this role in those locations is USD $41.83 - $57.88 per hour. Certain roles may be eligible for benefits and other compensation.
