Description

The Americas Finance team is seeking a full-time Executive Business Administrator to join their team. This position will provide administrative support to the Chief Vice President (CVP), their direct reports and support to the overall team across the Americas including the US, Canada and LATAM which is about 140 people. This is a great opportunity for a highly skilled and motivated individual to provide a variety of complex organizational, project, and administrative services. This position has frequent contact with all levels of Microsoft employees. This is a great team of finance professionals who are compassionate, hard working but know how to have fun when they get a break.

Manage and maintain CVP’s complex calendar on a daily basis to ensure accurate scheduling and organizationMake decisions on behalf of the CVP to ensure meeting requests meet with time management priorities and performance objectivesManage CVP’s domestic and international travel scheduling end-to-end including the proactive anticipation of logistics and itinerariesPartner with the CVP to deliver Rhythm of the Business processes, including financial and HR rhythms, leadership meetings, sales & marketing reviews, Offsites, All-Hands meetings, etc.Partner with the Chief of Staff to lead the Americas V-teamManage both the rhythm of business (ROB) and shared private conference calendarsManage team award program including all communications, v-team, processes and procedures Process expense reports in a timely manner and compliant with Microsoft policies and proceduresManage, plant and develops team morale events while staying within the allocated budgetManage space coordination, new employee setup and other administrative processesProcurement of goods and services including computer equipment, offices supplies, reference materials, and facilities requestsManagement of systems, tools, and processes including managing team distribution listsProvide general project support as needed including ad-hoc reportingCommunicating and driving all administrative tasks across a remote based teamLead and coach a team of 2 admins including back up and support of their leaders

Qualifications

Required/Minimum Qualifications

7+ years of executive level administrative experience in a fast-paced and complex environment with an emphasis on scheduling meetings/events, travel management and administration work for executive/upper-level management.5+ years of experience with Office Suites including but not limited to Outlook, Word, Excel, PowerPoint, Teams, and OneNoteAdditional or Preferred Qualifications

10+ years total administrative experience with project or office management including budget management, calendaring and understanding of the business to help with decision making process 4+ years experience serving as mentor or direct/indirect (e.g., team leader) supervisor to others.5+ years experience reviewing and managing administrative budgets (e.g., for events, morale, travel, training).Business Support ATR-E - The typical base pay range for this role across the U.S. is USD $32.84 - $66.30 per hour. There is a different range applicable to specific work locations, within the San Francisco Bay area and New York City metropolitan area, and the base pay range for this role in those locations is USD $44.81 - $72.69 per hour.
