Our team combines hardware innovation with software technologies and Azure services to build a scalable quantum computer in an industry-leading quantum ecosystem.We are looking for a dedicated Executive Business Administrator to join our team. The ideal candidate thrives in a fast-paced environment, has strong attention to detail, and embraces challenges with high energy and a positive attitude.
In this role, you will provide administrative support to the Technical Fellow and work closely with other senior leaders. You will excel in administrative functions and collaborate with teams across the organization. The ideal candidate should be able to multi-task, make quick decisions, and adapt to a dynamic environment. Proficient communication, interpersonal skills, and professionalism are essential. You should balance collaboration with independent work and be comfortable with ambiguity. An experienced Executive Business Administrator who can handle problem-solving and project management will be highly effective. Achieving accurate results, removing administrative roadblocks, and working well within a team are crucial.

Provides strategic calendar management and time planning support for the manager, ensuring the schedule aligns with their priorities and commitments. Aligns the calendar based on knowledge of the manager's preferences and operating styles. Ensures preparation of meeting settings and participant attendance, involving team members in tactical logistic support as appropriate.Owns the coordination, logistics, and direction for events. Proactively drives actions needed to ensure event outcomes. Acts as a point of contact, collaborates and coordinates with stakeholders to set up events as needed, and manages supplier and business relationships end to end.Balances multiple projects end to end with varying deadlines, while maintaining executional and operational excellence within the business and across business groups as applicable. Takes accountability for project outcomes and drives stakeholder accountability through consistent communication.Maintains and manages up-to-date space-management processes and team spaces. Assists with org-wide events run by the administrative team.Provides group-level support for the team.Manages domestic and international travel logistics, trip preparation, and expense reporting.Be available to respond to critical requests and emails outside of core work hours.Other responsibilities may include:Providing back-up support (calendar, travel, expenses) to others on the Leadership team, as necessary.Working closely with other members of administrative leadership to increase cross-team collaboration.The successful candidate will:

Qualifications
Required/Minimum Qualifications5+ years of Administrative, Business Support, or customer service experience in an environment with an emphasis on scheduling meetings/events, travel management, and administrative work for executive/upper-level management.3+ years of experience with Microsoft Outlook, Word, Excel, and PowerPoint.2+ years of supporting an executive in a fast-paced, corporate environment.Preferred qualifications
Bachelor's Degree in relevant field (e.g., Business Administration, Human Resources [HR], Marketing, Communications, Psychology, Sociology) OR equivalent experience.3+ years experience reviewing and managing administrative budgets (e.g., for events, morale, travel, training).2+ years experience serving as mentor to others.
Business Support ATR-D - The typical base pay range for this role across the U.S. is USD $28.46 - $48.80 per hour. There is a different range applicable to specific work locations, within the San Francisco Bay area and New York City metropolitan area, and the base pay range for this role in those locations is USD $39.76 - $55.67 per hour.
