Our team is seeking an Executive Business Administrator to report to our Chief Communications Officer, Frank X. Shaw. The Executive Business Administrator is a member of the Communications Leadership Team (CLT) and is a high visibility, high impact position in the organization.

The Executive Business Administration, Communications will provide support to the Chief Communications Officer (CCO) and the broader Communications leadership team. This role requires effective organizational skills, executive presence, and the ability to manage complex priorities in a dynamic, high-impact environment. The ideal candidate is a proactive problem-solver who thrives in ambiguity, demonstrates sound judgment, and effective cross-functional relationships to drive business outcomes.

This role provides strategic and operational support to the Chief Communications Officer (CCO), enabling effective leadership through seamless coordination, communication, and execution across multiple domains.

Calendar & Meeting Management

Manages the CCO’s calendar with a focus on aligning engagements to business priorities and strategic objectives.Coordinates high-impact meetings, including logistics, agendas, and preparation materials, in partnership with the Chief of Staff and key stakeholders.Applies sound judgment to prioritize scheduling, delegate attendance, and respond to urgent requests with discretion and professionalism.Ensures timely follow-up and communication of meeting outcomes and action items.Executive Travel & Visit Planning

Oversees all aspects of domestic and international travel, including itineraries, accommodations, and transportation.Prepares detailed visit briefings to support productivity and readiness.Serves as a point of contact during travel, managing real-time changes across time zones.Ensures compliance with travel policies and manages required documentation (e.g., visas, passports).Cross-Functional Communication & Collaboration

Acts as a liaison between the CCO, internal teams, and external partners to facilitate clear and timely communication.Represents the CCO’s office with professionalism, discretion, and alignment to organizational values.Builds relationships across teams to support collaboration and business continuity.Participates in leadership team meetings, contributing strategic insights beyond traditional administrative scope.Identifies gaps in systems and processes, connects insights across teams, and supports informed decision-making.Communicates effectively with diverse audiences, including customers, partners, media, board members, and senior leadership.Navigates complex, high-stakes situations with agility, discretion, and strategic foresight.Rhythm of Business (ROB) & Project Leadership

Partners with executive leadership and Chief of Staff to manage the annual ROB, including fiscal calendars and executive cadences.Leads and supports cross-functional projects, ensuring timely execution and measurable outcomes.Maintains workback schedules and aligns deliverables with planning cadences.Identifies risks and opportunities, streamlines processes, and promotes operational excellence.Event & Space Management

Plans and executes high-impact events such as leadership offsites, executive briefings, and media engagements.Oversees space planning and logistics, including office moves and workspace setup.Manages vendor relationships and ensures alignment with budget and policy requirements.Team Experience & People Operations

Supports onboarding for new Communications leadership team members.Partners with Staffing to support recruitment, hiring, and offboarding of Business Support professionals.Mentors and supports team members, fostering an inclusive and growth-oriented team culture.Leads team experience initiatives, including technical management of the EA community, performance coaching, and career development.Financial & Resource Management

Manages expense reporting, purchase orders, and budget tracking in alignment with company policies.Partners with Finance and Chief of Staff on headcount planning, discretionary budgets, and resource allocation.Educates team members on financial policies and ensures compliance.Serves as interim approver and manages supply/resource planning for the executive office

Qualifications

Required Qualifications

7+ years Administrative, Business Support, or customer service experience in an environment with an emphasis on scheduling meetings/events, travel management, and administration work for executive/upper level managementOR equivalent experience.5+ years of experience leveraging judgment and discretion while managing and supporting highly confidential information.

Experience effectively managing multiple projects or workstreams simultaneously.Preferred Qualifications

Bachelor's Degree in relevant field (e.g., Business Administration, Human Resources [HR], Marketing, Communications, Psychology, Sociology)OR equivalent experience.4+ years experience serving as mentor or direct/indirect (e.g., team leader) supervisor to others.5+ years experience reviewing and managing administrative budgets (e.g., for events, morale, travel, training).Ability to manage complex calendars, travel, and executive-level communications.Proficiency in Microsoft 365 tools (Outlook, Teams, Excel, PowerPoint, SharePoint).Experience supporting C-suite executives in a global, dynamic environment.Executive presence and ability to influence at all levels.Calm under pressure and adaptable in ambiguous situations.Passion for team culture, inclusion, and continuous improvement.

Business Support ATR-E - The typical base pay range for this role across the U.S. is USD $32.84 - $66.30 per hour. There is a different range applicable to specific work locations, within the San Francisco Bay area and New York City metropolitan area, and the base pay range for this role in those locations is USD $44.81 - $72.69 per hour.
