We are seeking an Executive Business Administrator to provide end‑to‑end executive support to the Corporate Vice President (CVP), Engineering Operations (EngOps), Cloud + AI. This role operates at scale in a fast‑paced, global environment and plays a critical role in enabling executive focus, decision‑making, and operational rhythm. This role will partner closely with the EngOps chief of staff, EngOps leadership team, and cross‑functional stakeholders across Cloud + AI to deliver consistent, high‑impact executive engagement. #EngOps

Responsibilities
Calendar management and meeting logistics
Own and manage the CVP’s calendar, meeting preparation, and logistics with a clear understanding of business priorities and context.
Anticipate needs, resolve conflicts, and make prioritization decisions using sound executive judgment.
Identify and coordinate delegates, track follow‑ups, and maintain clear, ongoing communication with the CVP and central staff.
Partner proactively with key stakeholders, including chiefs of staff, communications, business managers, and human resources, to align schedules and cascade decisions.
Cross‑functional collaboration and communication
Work in close partnership with the EngOps chief of staff, business operations teams, and the Engineering Operations admin team.
Build and sustain strong relationships across organizations, including HR, Finance, GTA, and C + AI.
Leverage a broad internal network to enable the leader’s work and accelerate outcomes.
Discipline growth and development
Serve as lead EA across the EngOps business support community by setting connection rhythms, sharing best practices, and driving continuous improvement. Mentor and model inclusive, high‑impact leadership.
Pursue ongoing professional development and share best practices and insights.
Partner with the chief of staff community to steward recruiting efforts and support org‑ and region‑level business support planning, and to execute high quality EA blueprints in support of business needs, teams and regions.
Escalate issues thoughtfully and proactively to ensure effectiveness, consistency, and scale.
Rhythm of business (RoB)
Partner with executive leaders and chiefs of staff to build, manage, and evolve the annual rhythm of business, including fiscal year planning and executive cadences.
Communicate RoB expectations clearly and help balance workloads across competing priorities.
Identify patterns and improvement opportunities across cadences and advise on best practices.
Support planning and distribution of confidential communications in partnership with business managers and chiefs of staff.
Travel management and expense reporting
Coordinate domestic and international travel in partnership with executive travel, including accommodations, transportation, and security.
Build detailed itineraries that maximize productivity and align to business objectives.
Act with urgency to manage changes, resolve issues across time zones, and support the leader during travel.
Ensure compliance with travel policies and manage expense reporting accurately and on time.
Space management and planning
Oversee space management for the organization, including desk assignments, conference rooms, and location planning.
Lead large‑scale space initiatives such as restacks and build‑outs in partnership with space planners and admin peers.
Resolve escalations, assess future space needs, and drive data‑informed planning aligned to organizational change.
Qualifications
Required qualifications
7+ years of administrative, business support, or customer service experience supporting executive‑level leaders, including complex calendaring, travel, and logistics.
Preferred qualifications
Bachelor’s degree in a relevant field (or equivalent experience).
4+ years of experience mentoring or leading others, formally or informally.
5+ years of experience managing or reviewing administrative budgets (e.g., events, travel, training).
Business Support ATR-E - The typical base pay range for this role across the U.S. is USD $32.84 - $66.30 per hour. There is a different range applicable to specific work locations, within the San Francisco Bay area and New York City metropolitan area, and the base pay range for this role in those locations is USD $44.81 - $72.69 per hour.
