Description
The Commercial Solutions Area (CSA) is seeking an experienced and highly motivated Executive Assistant to provide outstanding support to the Corporate Vice President of the CSA organization. The successful candidate must be self-motivated, excel at multitasking, pay unwavering attention to detail, and adapt to ambiguity. Additionally, the role requires making informed decisions, overcoming obstacles, and collaborating across executive teams to achieve objectives in a dynamic, fast-paced environment. Calendar Management and Meeting Logistics
Deliver strategic and confidential calendar management grounded in deep business and executive insight.Exercise independent judgment and discretion to prioritize customer and partner meetings, address urgent escalations, and maintain balance within the overall rhythm of business (ROB).Engage with external C-Suite/Board of Directors (BOD) executive offices and represent the company in scheduling high impact meetings with the right participants.Align and manage the calendar in accordance with the manager’s preferences and operating style, ensuring appropriate balance between personal needs and business priorities.Responsible for preparing meeting environments by booking rooms and providing support for audio-video (AV) and technical troubleshooting as needed.Cross-Organizational Leadership & Collaboration
Lead the administration and Executive Assistant community across the CSA organization by partnering with all stakeholders to ensure appropriate admin/EA resourcing.Serve as a primary point of contact for executive external partners, customers, and third parties, representing the office and consistently embodying the manager/team’s brand and company core values in all written and verbal communications.Coordinate onboarding logistics for new employees, vendors, and interns, including equipment orders and workstation setup. Manage distribution lists and security groups as directed by senior team members.Resource & Space Management
Prepare and submit expense reports in strict adherence to Microsoft policies, as well as monitoring, tracking, and reporting on morale, hardware, and supplies budget.Manage vendors and suppliers, including proper setup for financial processing and initiating purchase orders (POs).Manage the purchasing and procurement of PCs, business supplies, and capital expenditures necessary to support the executive office and the broader CSA organization.Responsible for planning, monitoring, maintaining, and adjusting equipment and inventory to ensure adequate stock levels and meet ongoing business requirements.Oversee executive and team workspace planning—including office locations, desk assignments, conference rooms, and remote statuses—to ensure alignment with design and technology needs, and provide space management support to the CSA organization as required.Rhythm of Business (ROB)
Oversee the annual rhythm of business (ROB) and executive meeting calendar with executives and Chiefs of Staff for the CSA organization.Ensure ongoing execution and alignment with the Rhythm of Business (ROB) in partnership with peers and cross-organizational teams.Travel Management
Coordinate CSA CVP travel with Executive Travel, creating detailed itineraries and agendas to ensure clarity and productivity.Oversee travel logistics and collaborate with the Chief of Staff and Customer & Partner team to support trip objectives, ensuring leaders are fully briefed and prepared.Serve as an on-call resource to promptly address manager needs, issues, and escalations across time zones during business travel.Coordinate proactive communication with the Chief of Staff and stakeholders to ensure successful business trip outcomes for the supported leader.Ensure proper documentation and compliance for international travel, enforce travel policies, and provide onsite support as needed.Event Coordination & Logistics

Qualifications
Required Qualifications:7+ years Administrative, Business Support, or customer service experience in an environment with an emphasis on scheduling meetings/events, travel management, and administration work for executive/upper level management.Experience providing high-level administrative support to senior executives, specifically at the Corporate Vice President (CVP) or Senior Vice President (SVP) level.Preferred Qualifications:
Bachelor's Degree in relevant field (e.g., Business Administration, Human Resources [HR], Marketing, Communications, Psychology, Sociology) OR equivalent experience.4+ years experience serving as mentor or direct/indirect (e.g., team leader) supervisor to others.5+ years experience reviewing and managing administrative budgets (e.g., for events, morale, travel, training).5+ years’ experience in an executive office.Solid communication skills and executive presence.Ability to build effective cross-group working relationships and work collaboratively with people at all levels of the organization.Ability to work well in a changing environment, under pressure, on short-notice, and take appropriate timely action.
Business Support ATR-E - The typical base pay range for this role across the U.S. is USD $32.84 - $66.30 per hour. There is a different range applicable to specific work locations, within the San Francisco Bay area and New York City metropolitan area, and the base pay range for this role in those locations is USD $44.81 - $72.69 per hour.
