If so, Microsoft AI is looking for an experienced Business Administrator to support managers and the broader organization within our Search Growth and Experiences team.

The ideal and successful candidate for this role needs to navigate a fast-paced environment, be agile and embrace changes, be able to multi-task, have excellent interpersonal skills, take initiative, demonstrate good judgment, and must maintain a high level of confidentiality. They must be highly competent at setting priorities while executing multiple tasks simultaneously. A successful candidate must build trust through consistent and timely follow-up, with excellent clarity in communication.

Starting January 26, 2026, Microsoft AI (MAI) employees who live within a 50- mile commute of a designated Microsoft office in the U.S. or 25-mile commute of a non-U.S., country-specific location are expected to work from the office at least four days per week. This expectation is subject to local law and may vary by jurisdiction.

Responsibilities

Calendar Management & Meeting LogisticsProvide calendar management and time-planning support for multiple executives, aligning calendars based on executives’ preferences, priorities, and operating styles.Manage community space and conference room calendars as needed including troubleshooting audio, video, and technical issues during meetings as needed.Ensure meetings are fully prepared, including room booking and AV/technical setup.Cross-Functional Collaboration & CommunicationBuild and maintain solid relationships with stakeholders across multiple organizations (e.g., Business Support, HR, Finance, Events, peers).Coordinate and communicate effectively with internal and external partners to enable leader and team execution.Discipline Growth & DevelopmentActively engage in the Business Support community, mentoring less experienced colleagues and supporting onboarding and training efforts.Promote a positive organizational culture through collaboration, knowledge sharing, and role modeling best practices.Document, standardize, and share operational best practices and insights to drive continuous improvement.Event Coordination & LogisticsSupport planning, coordination, promotion, and execution of events, including defining objectives, scope, success criteria, and creating or co‑owning itineraries and run‑of‑show documentation.Act as a primary point of contact for event communications, proactively managing updates, risks, and issue escalation to ensure successful delivery.Lead post‑event closeout activities such as attendance tracking, materials distribution, and follow‑ups, while fostering positive team dynamics and morale.Project OwnershipExecute projects and tasks with minimal supervision, owning assigned workstreams end‑to‑end with clear accountability.Identify and communicate risks, dependencies, and challenges early to ensure successful delivery.Drive continuous process improvements and operational efficiencies across workflows.Resource & Financial ManagementManage equipment and inventory planning, tracking, and maintenance; oversee vendors and suppliers, including setup and purchase order (PO) support.Process expense reports in full compliance with Microsoft policies and procedures.Partner with business management to plan, track, and report on discretionary budgets (e.g., morale, hardware, supplies).Rhythm of Business (ROB)Support execution of the team’s rhythm of business and operating cadence, coordinating scheduling and meeting logistics aligned to business priorities.Identify patterns and interdependencies across business cycles to support effective planning and decision‑making.Space Management & Planning Maintain accurate space management processes, records, and system data across offices, desks, and conference rooms.Coordinate day-to-day space logistics and support large-scale initiatives including moves, buildouts, and restocks, serving as liaison across stakeholders.Use space utilization data to identify trends, offer recommendations, and support planning for future space needs.Team Management Support (Headcount, Hiring, Onboarding/Offboarding)Support team experience and engagement activities.Partner with Global Talent Acquisition and hiring managers to coordinate recruitment logistics, onboarding, and offboarding for employees, vendors, and interns.Manage operational logistics and systems including equipment ordering, workstation setup, DLs, security groups, headcount tracking, transfers, reporting, and transactions.Travel ManagementArrange domestic and international travel for leaders and team including, accommodations, transportation, security, itineraries and group travel needs while adhering to Microsoft policies.Ensure required travel documentation is obtained (e.g., visas, immunization records).

Qualifications

Required:

2+ years Administrative, Business Support, and/or customer service experience.Other Requirements:

Ability to meet Microsoft, customer and/or government security screening requirements are required for this role. These requirements include but are not limited to the following specialized security screenings:

Microsoft Cloud Background Check: This position will be required to pass the Microsoft Cloud background check upon hire/transfer and every two years thereafter.

Preferred:

3+ years administrative, business support, or customer service experience in an environment with an emphasis on scheduling meetings/events, travel management, and basic administration work.Associate's/Bachelor's Degree in relevant field (e.g., Business Administration, Human Resources [HR], Marketing, Communications, Psychology, Sociology) OR equivalent experience.1+ year(s) experience reviewing and managing administrative budgets (e.g., for events, morale, travel, training).#MicrosoftAI #MAI #Bing

Business Support ATR-C - The typical base pay range for this role across the U.S. is USD $25.10 - $43.80 per hour. There is a different range applicable to specific work locations, within the San Francisco Bay area and New York City metropolitan area, and the base pay range for this role in those locations is USD $35.72 - $51.11 per hour.
