The Boeing Company is looking for an Executive Office Administrator (EOA) to join their team in Mesa, AZ or Seattle, WA. This position will support the Boeing Enterprise AI & Data Vice President/Chief AI & Data Officer under Information Digital Technology & Security (IDT&S), and other executives directors within the Enterprise AI & Data (EAI&D) organization.

The ideal candidate has experience supporting executives with a high degree of professionalism and discretion, while also being proactive and demonstrating robust attention to detail, along with the ability to adjust priorities efficiently and effectively. The EOA will work in a fast paced and dynamic environment supporting calendar management, travel arrangements and expense reporting, logistical planning for internal and external events, and coordination with other senior executive offices across Boeing. The desired candidate must have strong interpersonal, organizational, collaborative, and time management skills.

Position Responsibilities:

Establish and maintain effective working relationships with internal and external customers, co-workers and peers, while maintaining the highest level of confidentiality with sensitive information and while working under tight and often competing deadlines

Prioritize and schedule senior executive-level employee time and availability with a strong focus on balancing meetings and opportunities for dedicated work

Develop a clear understanding of business operations and strategic priorities to apply sound judgment when rescheduling or prioritizing meetings for executives

Plan and implement logistics for senior executive-level internal and external events

Coordinate and process domestic and international business travel arrangements, monitor travel logistics, generate expense reports, provide visibility of report status, and assist in reconciling corporate credit card charges and verify payments to ensure timely and accurate reimbursement

Process and screen incoming and outgoing communications to ensure proper dissemination of information

Communicate a wide variety of information with multiple audiences, both verbally and in writing

Track and maintain information relevant to organizational operations and schedules

Track and maintain designated conference room schedules for availability and efficient use of resources

Coordinate with the appropriate focal(s) to support the acquisition and maintenance of resources, such as office supplies

Provide guidance to less experienced employees

Basic Qualifications (Required Skills/Experience):

5+ years of experience supporting and engaging with organizational senior leadership and their teams to coordinate priority needs, support internal and external events, and provide effective travel arrangements when necessary

5+ years of experience providing administrative support to multiple customers such as executives, managers, and staff members

5+ years of experience managing executive schedules and calendars using Microsoft Outlook

5+ years of experience with Microsoft Word, Excel, Outlook, and PowerPoint

Preferred Qualifications (Desired Skills/Experience):

Bachelor’s degree or higher

5+ years of experience in coordinating and processing travel arrangements, generating expense reports and reconciling corporate credit card charges

5+ years of experience in a role which required strong interpersonal and communication skills

Experience leveraging technology and business applications to manage and interpret data relevant to responsibilities for problem identification and resolution

Experience using collaboration tools (e.g., Microsoft Teams)

Experience building positive relationships with peers and leaders, collaborating effectively, and communicating clearly

Experience acting as a liaison between executives and their support staff to ensure proper coordination and communication

Summary pay range: $72,250 - $104,650
