The Global Advertising and Media team is seeking an experienced Executive Assistant to partner with the General Manager to help provide successful administrative, logistical, and operational support. This EA's primary role would be focused on the GM needs, set them up for success to drive business excellence. A successful candidate comes with an advanced EA skillset, ability to effectively manage workload pressure with a calm and confident attitude, ability to work independently, deal with ambiguity and have a passion for making managers and organizations great. This position requires someone who has excellent communication skills; considers themselves a leader; and possesses the ability to set priorities and handle multiple tasks simultaneously with little direction, build relationships and keep things running in a structured way.

Responsibilities include (but are not limited to):
Executive calendar management. Ninja skills in managing a very complex calendar including travel, multiple global time zones and strategic prioritization of appointments for GM.
Provide end-to-end complex domestic and international travel planning, including proactive planning of external partner meetings in tandem with planned business travel to drive schedule efficiencies.
Support the Business Manager with ROB scheduling and team calendar items; including All hands, off sites and team Morale events - event planning
Reconciling and submitting expense reports and auditing PO's for GM approval
Managing vendor accounts and space needs
Proficiency with MS tools - HeadTrax, MS Expense, My Order, MS Approval, MS Travel etc.
Collaborate with Business Manager on OPEX budget management.
Submit facilities request, manage alias's, new hire onboarding support
Manage office hardware and supply needs
Anticipate GM needs. Any adhoc administrative tasks
Work closely with the broader marketing Admin team to ensure all administrative procedures unique to marketing are handled as required and that all group support is running smoothly.

Qualifications should include:
5+ years of experience supporting an executive at Microsoft or working in an external fast-paced environment. Proactive in anticipating executive's needs and able to work independently to make administrative decisions and requests for information on behalf of the executive.
Ability to work well in a changing environment, under pressure, on short-notice, and take appropriate action.
You know complex executive scheduling and ROB management and you're amazing at it!
Adaptable and must work successfully in a team environment, build and maintain effective working relationships with diverse group of contributors internally and externally.
Must maintain confidentiality of highly sensitive material and information with discretion and professionalism.
Excellent organizational, analytical, anticipatory, and written communication skills. In depth knowledge and proficiency with Microsoft products including Outlook, PowerPoint, Visio, Word, Excel, Windows and the ability to learn new internal systems quickly and comfortable with new technologies.
