The Enterprise and Cloud Division is looking for a Business Administrator for the Enterprise Cloud Pace and UX Team. Someone who has excellent organization and communication skills combined with a great positive attitude, strong initiative and high energy. To succeed in this role you must be able to multi-task and pro-actively anticipate the needs of the team. This position is responsible for providing administrative support to a large team totaling just under 75 people, as well as calendar and travel management for 2 Directors.

This position offers a variety of primary administrative functions. Responsibilities include, but are not limited to, calendar management, coordinating and scheduling meetings, event planning and coordination, travel arrangements, preparing expense reports, asset/headcount/space tracking, new hire setups, organization chart updates, maintaining group aliases and being an integrated member of the team. This person will work closely with the other Business Administrators within Enterprise and Cloud Division, and will develop strong working relationships as part of the admin team.

This position requires initiative, good judgment, and ability to maintain confidentiality, setting priorities and handling multiple tasks simultaneously. Candidates must have excellent communication, organizational, and interpersonal skills along with the ability to work independently and professionally at all levels. Candidates must be extremely resourceful and able to deal with ambiguity. They must possess solid problem solving skills, strong attention to detail, be able to work effectively under pressure. They must work successfully in a team environment, build effective working relationships inside and outside the group, and accommodate working styles and perspectives of diverse individuals.

Basic Qualifications:
3 - 5 years demonstrated work experience in a fast-pace administrative capacity or related work field.
Proven proficiency in Microsoft Office Systems required;

Preferred Qualifications: proficiency on internal MS tools (Headtrax, MS Space, MS Market, Assetlink, etc.) preferred. Effective written and verbal communications skills required. BA/BS degree preferred.

Purchasing equipment, services and supplies, managing supplier and vendor contracts, creating purchase orders and processing invoices. Assist with establishing equipment ordering and supply guidelines, ensuring lowest cost/best quality options are chosen.
Reviewing operating budget and spend and partnering with Finance.
Organizing and planning team meetings and morale events.
Understand the rhythm of the business in order to most effectively plan events and meetings, anticipate spend, and provide support based on the business needs at the time.

o 3+ years Outlook/Excel/Word

Reviewing operating budget and spend, identifying near-overages and issues. Partnering with Finance to ensure no reporting discrepancies. Acting as interim approver on all team expense reports, ensuring coding accuracy.
Organizing and planning events and also cross-collaborating, planning, and support on Content Services and International events including All-Hands Meetings, morale events, other as needed.
Understand the rhythm of the business in order to most effectively plan events and meetings, anticipate spend, and provide support based on the business needs at the time.
Project support - taking on special stretch projects to assist the team.

Daily responsibilities include but not limited to:

- Proactively managing and prioritizing a complex calendar, resulting in
Manager staying focused on business priorities, working efficiently and
ensuring they are fully prepared and timely for meetings.
- Anticipating needs; make administrative decisions and requests for
information on behalf of the Manager based on understanding of
business group priorities.
- Exercise sound judgment, tact, integrity and professionalism in all
transactions which includes communicating and working with highly
confidential and sensitive information.
- Coordinating meeting and events logistics and catering; tracking the
operational budget; planning morale events and team off sites; maintaining
the group's aliases.
- Working collaboratively with Administrative teammates in the org.

Responsibilities include supporting the Identity Core Engineering team. Team support includes:

- Acting as a central point of contact for the team and disseminating
information to the group as appropriate;
- Office space planning in coordination with division space planner.
- Headcount support and tracking.
- New hire set up.
- Equipment and office supplies purchasing
- Invoice processing and PO management.
- Budget tracking, re-classes and accruals.
- Tracking of capital equipment.

Qualifications should include a minimum of 3 years of Microsoft work experience in a fast-paced administrative capacity. Demonstrated ability to prioritize and manage complex schedules; demonstrated problem-solving skills and strong attention to detail; demonstrated ability to change direction in response to changing work situations; ability to accommodate working styles and perspectives of diverse individuals; ability to prioritize own work and resources to complete projects on time and to solve routine problems effectively. Be a strong team player who will demonstrate drive and initiative, and have positive and professional approach.
