We are looking for a confident, accomplished Business Administrator to support 3 Sr. Directors of LeX, a team consisting of 65+ employees located around the world. This position is responsible for providing executive level support to 3 Sr. Directors and limited administrative support their teams. This position has frequent contact with all levels of Microsoft employees as well as with external customers and partners. This position requires someone who is organized, has excellent communication skills, considers themselves a leader, and the ability to set priorities and handle multiple tasks simultaneously with little direction. The ability to learn new tasks and respond in an appropriate manner in a rapidly changing environment. The successful candidate will have strong planning skills with the expectation to create ROB annually, the ability to work independently and juggle multiple projects at once, and will be ready to take on projects big and small to support the successful and efficient operation of the business is important to the success of this role.

Specific areas of ownership include (but are not limited to):

o Managing executives calendars on an ongoing basis, making proactive decisions to prioritize calendar based on business priorities to ensure accurate scheduling and appropriate allocation of time; booking domestic and international travel;
o Managing the ROB calendar, sharepoint and all hands meetings
o Overseeing, forecasting and tracking department headcount and employment information; working with HR to onboard new employees and vendors, including office space planning and office moves as necessary;
o Organizing and maintaining corporate data dashboards, file structures, internal SharePoint sites;
o Arranging and assisting with regular business reviews; taking notes and tracking action items to close;
o Coordinating team-wide and divisional events and gatherings; booking space and organizing catering and audio-visual;
o Owning special projects and internal marketing efforts: executing creative ideas that showcase our team well;
o Ensuring the efficient flow of information across teams, providing general administrative support as appropriate;
o Keeping all financial systems and forecasts in good order; assisting team members in understanding the systems and providing timely information to others;
o Putting systems and structures in place that grow organizational capacity and support a healthy and productive workplace.

Skills and qualifications required:

o At least 5+ years of experience supporting an executive in a fast paced environment required.
o Ability to act with executive presence, confidentiality and diplomacy, critical for interaction with all levels of Microsoft employees and executives cross group.
o Keen sense of confidentiality and ability to exude confidence to make appropriate decisions on behalf of the leadership including the ability to act with sense of urgency and willingness to change directions at a moment's notice; ability to stay calm under pressure; ability to work independently, take ownership and drive issues to resolution.
o Able to work successfully in a team environment, build effective working relationships inside and outside group with varying levels of collaborators and accommodate working styles and perspectives of diverse individuals and groups.
o In depth knowledge and proficiency of MS systems and products including Outlook, PowerPoint, Visio, Word, Excel,
